Hubsoft integration with IClass

Hubsoft, an ERP for internet service providers (ISPs), integrates with IClass to manage field teams. Every work order opened, scheduled, or closed in Hubsoft is automatically sent to IClass, and work orders can be scheduled in the IClass calendar without leaving Hubsoft.

IClass is field service management software. With Hubsoft, the internet service provider (ISP) sends work orders to IClass and schedules each one in the IClass calendar, with its assigned technician.

About IClass

IClass FS is online work order software for managing field teams. It offers smart scheduling, routing, inventory, asset and fleet management, customizable forms, a mobile module, and map-based dashboards. It serves several industries, including internet service providers (ISPs) and telecommunications companies.

What the integration does

The integration has two functions, which can be enabled together or separately:

  • Event delivery: each work order event in Hubsoft is automatically sent to IClass. The events are create, update, schedule, unschedule, close, and remove, and you choose which ones to send.
  • Scheduling through the platform: the IClass calendar opens inside Hubsoft, already filtered by city and work order type. When you confirm the time, the work order is scheduled in Hubsoft with the date, time window, and technician assigned by IClass. The scheduling is added to the work order history.

Each event includes work order data (number, type, status, dates, technician, and notes), customer data (name, phone numbers, email, and plan), service address details with coordinates, and technical service data such as login, MAC, and access point.

Delivery runs in the background, immediately after the work order event occurs. If IClass is unavailable, Hubsoft tries again, and each delivery is logged with the platform's response.

What you need

  • A contract with IClass and the access details it provides: URL and event delivery token; scheduling URL and token.
  • The mapping registered in IClass: work order types, technicians, and cities, using Hubsoft codes. IClass creates this mapping; the internet service provider (ISP) sends the list of codes.
  • Cities with the IBGE code filled in on Hubsoft.
  • An active technical user in Hubsoft to be the default assignee for work orders scheduled through the platform.
  • Access permission to Integrations for the person configuring it and to Schedule Work Orders for the person scheduling them.

How to activate

  1. Send IClass support the list of work order types, technicians, and cities (IBGE), and wait for the mapping to be registered.
  2. In Hubsoft, go to Settings > Integrations > ERP, click Add, enter a name, and select the iClass gateway.
  3. Enable Event Delivery, Scheduling through the Platform, or both.
  4. Enter the URL and token. If you use the calendar, also enter the scheduling URL and token and the default technician code.
  5. In the Work Order group, select the events IClass should receive and save. Hubsoft checks the required parameters and whether the default technician is active.

The step-by-step instructions with screenshots are on the IClass page in the Hubsoft wiki.

Limitations

  • Event delivery is one-way, from Hubsoft to IClass. Only scheduling sends data back: date, time window, and technician.
  • The event format is defined by IClass and cannot be edited. To send work orders to your own system, use the Other (Webhook) gateway.
  • Scheduling through the platform can be active in only one ERP integration at a time.
  • The scheduling token expires. When the calendar stops opening, request a new token from IClass.
  • The Test action does not yet work for IClass. Validation is performed by opening the calendar or checking the events for a test work order.

Frequently asked questions

The IClass calendar does not open. What should I check?

Check the city's IBGE code, whether the city and work order type were provided, and whether the scheduling token is valid. The most common cause is the mapping: a new work order type or city only works after it has been mapped in IClass.

Why was the work order assigned to a different technician?

The technician assigned by the IClass calendar for the confirmed time is used. If all work orders are assigned to the default technician, the technicians are probably not mapped in IClass.

How do I know whether an event reached IClass?

Every delivery is logged in Hubsoft with IClass's response. If you have questions, contact Hubsoft support with the work order number and approximate time.
