Octadesk is a customer service and sales platform powered by artificial intelligence. It centralizes WhatsApp, chat, and email conversations, automates responses with AI agents, and organizes the help desk from the first contact through ticket resolution. What the integration does

• Sends personalized, scheduled, and automated messages through Octadesk's official WhatsApp.
• Uses HSM templates, called message templates in Octadesk, with variables populated by Hubsoft when the message is sent.
• Sends notifications based on the SMS rules for the billing method: after the invoice is generated, before the due date, after the due date, or after payment.
• Allows messages to be sent to a filtered group of customers in the Customer Services report by choosing the template.

What you need

• An Octadesk account with official WhatsApp.
• The API URL and token, under Settings > General > API in Octadesk.
• The WhatsApp number that will send the messages, including the country code and area code, shown under Official WhatsApp > Phone Numbers.
• The login email address of a platform agent.
• Message templates created under Settings > Official WhatsApp > Message Templates.

How to activate it

1. In Hubsoft, go to Configuration > Integrations > SMS/Messengers and click Add.
2. Choose the Octadesk gateway, enable the HSM key, and enter the URL, token, WhatsApp number, and email. Save.
3. In Octadesk, copy the ID of each message template and check which variables it uses.
4. In Hubsoft, under Actions > HSM Template > Add Template, enter the Octadesk ID as the code, a description, and the variables using the same names as in the template.
5. Configure the rules under the SMS tab for the billing method and the Send SMS routine under Configuration > General > Routines.

Limitations

• The integration works only with HSM templates. Free-form text is not sent.
• HSM templates do not support attachments, so the invoice PDF is not sent through Octadesk.
• An integration with HSM enabled cannot be used for one-off messages or the Subscriber Portal.

Frequently asked questions

Can I send the invoice PDF through Octadesk?

No. The integration uses HSM templates, which do not support attachments. The template can include the digitizable line or a link, depending on the available variables.

How do I know which variables the template contains?

In Octadesk, open the message template using the View option. Each variable displayed there must be added to the Hubsoft template with the same name.

Do I need to purchase anything separately?
